Use this on every turn to keep units consistent, protect deposits and reduce vacancy time.

1. Move-out scheduling

  • Confirm resident move-out date and notice status
  • Schedule final walk-through with resident
  • Send move-out instructions (keys, forwarding address, cleaning expectations)
  • Collect keys, fobs, parking passes and pool/gym access cards
  • Document meter readings (electric, gas, water)
  • Take dated move-out photos of every room

2. Initial inspection

  • Inspect walls, ceilings and floors for damage
  • Check windows, screens, blinds and window tracks
  • Test every door, hinge, lock and deadbolt
  • Run faucets, toilets, showers and check for leaks
  • Test outlets, light switches, ceiling fans and HVAC
  • Document damages and chargeable items with photos

3. Make-ready work

  • Patch and paint walls and touch up trim
  • Repair or replace damaged flooring, tile or carpet
  • Deep clean kitchen, bathrooms, appliances and cabinets
  • Clean carpets, vents and windows inside and out
  • Replace or re-key locks and test all access devices
  • Address any outstanding maintenance work orders

4. Vendor coordination

  • Assign cleaning, painting and maintenance vendors
  • Confirm vendor arrival times and scope of work
  • Collect before-and-after photo proof from each vendor
  • Verify work completion and quality before payment
  • Update turn timeline as each task is finished

5. Final inspection & ready-to-lease

  • Walk every room with the completed checklist
  • Confirm all repairs, cleaning and paint touch-ups are done
  • Test smoke detectors, CO detectors and fire extinguishers
  • Verify unit is vacant, clean and secure
  • Take final marketing-ready photos
  • Mark unit as ready to lease and update availability
